Why is my purchase requisition NSF? 
There are a few budget factors that can cause a requisition to be returned NSF: 

  • Incorrect budget codes being entered on the requisition.  Please review the Fund, Org, Account, Campus (used at the end of the Account code), Program, and Activity codes to ensure there are no typos (typos are usually found in the Program and Campus codes).
  • Budget not being in the correct budget category or campus.  Often times, it’s known that the department has budget available so it’s assumed that requisitions will go through.  However, if budget is not in the correct budget category then the requisition will not go through.  For example, if your department needs to order Office Supplies, verify that budget is available in the Operating Supplies budget category and not another budget category like Capital Outlay.  Also, if the Operating Supplies order is needed at the Acadian site, verify that budget is available in Operating Supplies at Acadian and not Operating Supplies at Mid-City.
  • Budget not being loaded.  If your department receives approval to make a purchase, the requisition cannot be entered until it is confirmed that budget has been loaded for the approved request.  Please contact the Budget Office to verify whether budget has been loaded for an approved request. 
  • Pending requisitions that have been entered, but not completed.  When a requisition is entered, the dollar amount of the requisition is withheld from the budget.  Verify that incomplete or pending requisitions that are no longer needed are deleted so the associated budget can be released.

Why is my purchase requisition NSF when budget has been loaded already? 
If budget has been loaded for your department’s need and a requisition is returned NSF, there are a few factors that can cause this:

How do I determine how much is left in my budget? 
To determine your department’s current available budget balances, Budget Managers and/or their designee can review the Available Balances budget report via the Strategic Dashboard.

Why does the purchase requisition system say “User is not authorized to post to the entered Fund or Org code”? 
This error message means your Banner Finance profile needs to be updated to include the fund and/or org code use on the requisition.  Requisitioners, please contact the Budget Office via email to request access to the budget codes being used.

How do I get access to the Budget Report in Argos? 
Budget Managers and/or their designee, please contact the Budget Office via email to request access to Argos.  Please include your department’s budget codes in your request (fund code and org code).

How do I get a new Fund Code issued for a new grant or lab/exam fee? 
If a new grant or student fee has been issued, Budget Managers or Grant PIs should email the Budget Office to request a new fund code.  Please include documentation to support the new grant or student fee.

How do I determine the budget codes for my department? 
If you are a new Budget Manager or Coordinator, please contact the Budget Office via email to obtain your department’s budget codes.
