Media Services Policy

Circulation
Media equipment may be checked out during hours of operation from the Media Center or from designated building media coordinators. Circulation privileges are extended to faculty, staff, and students who are members of the Baton Rouge Community College and who are in possession of a current BRCC ID. All fines and holds must be cleared before any media equipment can be checked out.

Renewal

Patrons will renew equipment in person, by e-mail or by telephone. If there is no hold on the equipment desired, the request for renewal will be granted. Exceptions can be made and approved by the BRCC Media Service Coordinator or the designated building media coordinator.

Loan Periods
All media equipment circulates from the media center or designated building coordinator. Loan periods can be adjusted for longer circulation periods if necessary.

Fines
Overdue fines are applied to media equipment checked out through the Media Center. The overdue fine is $5.00 per hour, or any part of the hour thereof. In other words, if media equipment is returned 5 minutes late, then the entire $5.00 in overdue fines will be charged. Any borrower who fails to return library material in a timely manner or returns it in a damaged condition will be charged late fees, lost item fees, or repair charges, along with any accrued fines and a $10.00 non-refundable service charge per item.


Borrower’s Responsibilities

• Borrowers are responsible for the security and prompt return of material and equipment checked out in their name.
• No one may use another person’s BRCC ID to check out media equipment.
• It is the responsibility of the borrower to note the date and time that the material is due back to the Media check out unit.
• Any patron checking out any type of media equipment must read and sign the Media Equipment Release Form if the electronic system is unavailable. (See Appendix A).

Media Equipment Replacement and Repair Policy
If media center equipment is circulated and lost while it is charged out to a patron, the patron shall be charged the amount it would cost to replace the lost equipment, along with the required processing fee and any overdue fines, if applicable. Money collected from fines should be used to replace the lost equipment.

If media center equipment is damaged, while it is charged out to a patron, the patron shall be charged the amount it would cost to either fix or replace the damaged equipment, along with the required processing fee and any overdue fines, if applicable. It is left to the discretion of the Media department administration to determine if the item is to be replaced or repaired. Money collected should be used to either replace or repair the damaged equipment.

Therefore, if a media item is lost or if it has been determined to need service or minor repair or to be damaged beyond repair, the following procedures should be followed by the media center staff:

• Contact a member of the Media Services Department and have the item removed/withdrawn from the catalog.
• Obtain a Surplus Form from the BRCC Property Control Officer. Fill the form out completely. Sign and date the form. The property control officer will initiate the physical removal of the item. Remove the item from the Media Inventory List.
• Media Services will not be responsible for servicing, repairing or replacing equipment purchased by departments for exclusive departmental use.
