BATON ROUGE COMMUNITY COLLEGE
TUITION REIMBURSEMENT PROGRAM


NOTE: This program is effective based upon availability of funds as identified during budgetary hearings and negotiations each fiscal year. For credit courses only.


EMPLOYEE ELGIBILITY
Baton Rouge Community College (BRCC) encourages life long learning among its faculty and staff and provides tuition assistance opportunities. Employees that are eligible for the Tuition Reimbursement Program (TRP) are full-time, benefits–eligible employees, regularly scheduled to work 40 hours a week. All courses must lead toward an undergraduate or graduate degree. An employee must have been employed by BRCC full-time for two continuous years to be eligible to participate in the TRP.
An employee must have received a performance evaluation rating of “Meets Expectation” or higher during the twelve months prior to participation.

ELIGIBLE TUITION EXPENSES
Eligible tuition expenses include tuition only for courses that lead toward an undergraduate or graduate level degree(s). The cost of books and all fees are not included and is the financial responsibility of the employees. Any scholarship, aid or grant money received from any other sources will offset the amount of tuition reimbursement you receive. BRCC will reimburse at 100% tuition for up to six credits. Reimbursement in based upon a grade of B or better in each course.

ELIGIBLE COURSEWORK
Reimbursements for courses that are job-related and lead toward an undergraduate or graduate degree are eligible. BRCC will only accept and reimburse for coursework that is delivered by an accredited college or university.

APPROVAL
The Request for Tuition Reimbursement Form must be received in the Department of Human Resources a minimum of three weeks prior to course registration. A degree plan must accompany the Request for Tuition Reimbursement form. Participation in the program is based upon availability of funds and when the application is received (first come, first served). As a general rule all courses must be taken outside of the normal work day. Human Resources will notify the applicant of approval within 10 business days.


TUITION REIMBURSEMENT PROCESS
The employee pays the tuition and required fees for the approved course(s). A grade of “B” or better is required to be eligible for the Baton Rouge Community College Tuition Reimbursement Program. All grades and proof of payment must be submitted to the Department of Human Resources within 30 days of completing the course. If an employee fails to submit the required documentation during this period, reimbursement is denied.


TAXABLE INCOME
Tuition reimbursement may be defined as taxable income. Employees are to consult with the Internal Revenue Services to fulfill their tax liability. BRCC bears no responsibility and hereby indemnify itself of any tax liability of the employee. A 1099 Miscellaneous form will be issued for each taxable year.
